HFSA Supports and Helped Develop the New Uniform Application and Selection Process for Advanced Heart Failure and Transplant Cardiology Fellowship Applicants
- Based on input from national AHFTC programs and recent fellowship applicants
- Intended to level the playing field for both applicants and programs

- Eliminates potential pressure to sign early with a program that might not be one’s first choice

ERAS provides a centralized, but flexible solution to the residency application and documents distribution process.
ERAS Community Site will be your go-to place to connect with other members, ask advice, and share expertise about all things about the Program Director’s Workstation (PDWS). To access this site, users must have an AAMC account and granted access to an ERAS program. The program’s Designated Institutional Official (DIOs) is responsible for granting access to the program users.

ADVICE/GUIDANCE FOR PROGRAMS
Advice/Guidance for Programs:
- Only list positions that are being offered competitively (if you have a mutual commitment with an internal candidate from your institution, do not post that position via ERAS or use the process described below). Candidates pay a fee for each position they apply for.
- External commitments should not be made with candidates outside of the ERAS system as this negates the purpose of using a unified application process
- Verify that the information on your program website matches the dates and timelines for the process as outlined in this document. This will help the candidates and maintain consistency across all programs
- Clearly list on your program website the number of positions that are available
- The consensus goal is to synchronize the process of offering competitive AHFTC fellowship positions
- Achieving this goal depends on your compliance with the timelines above-do not offer positions early!
- All offers and applicant responses should be written (via email) and considered binding.
- It is in your interest to make your initial offers immediately after the May 7th time listed above.
- Make sure you include the 72-hour deadline for responding in your offer letter, but encourage earlier accept or decline responses
- There should be no “overbooking”! If you have two slots, make only two initial offers (more offers only after candidates decline your offer or if no response within the 72-hour period)
- Once an applicant refuses an offered position, or the 72-hour time limit passes with no response, you can immediately offer the position to an applicant further down on your list
- Once positions are filled please close your program to receiving further applications for the year in ERAS. As noted, applications will no longer be accepted after May 31st however applicant information will remain available in ERAS
- If you are unable to fill your position please inform HFSA so the candidate website can be updated to show positions that remain open
- At the end of this process, please respond to the applicant satisfaction questionnaire that ERAS will be sending

ADVICE/GUIDANCE FOR APPLICANTS
Advice/Guidance for Applicants:
- If you have mutual binding commitment with a specific AHFTC fellowship program, do not submit as ERAS application or engage in the process described
- The consensus goal is to synchronize the process of your receiving AHFTC fellowship offers from programs interested in you – you may get more than one offer but you may accept only one offer
- Achieving this goal depends on both programs’ and your compliance with the timelines above
- All offers and responses should be written, via email or priority overnight mail delivery (given compressed timeline for responses) and considered binding
- If you receive an offer from your top choice on May 7th, it will help others if you promptly accept that position and decline other offers
- If you do not receive an offer from your top choice on May 7th, you may want to delay your response to the favorite among offers your received, but do not exceed the 72-hour response deadline as your offer will then be nullified
- If you do not receive any offers on May 7th, you may still receive others at later dates
- Application period remains open through May 31st. Program have been asked to close access to their site once all positions have been filled. Positions that remain open will be listed on the HFSA website
- At the end of this process, please respond to the applicant satisfaction questionnaire that ERAS will be sending
